How to cancel Calendly.
Calendly treats cancellation as 'switch to Free.' The flow is self-serve from the Admin Center for Owners and Admins on any plan, with the downgrade taking effect at the end of your billing period. Yearly customers wanting to switch to monthly are the exception — that one requires emailing billing support.
What you need ready.
- Owner or Admin role on the Calendly organization (Members can't change billing).
- Knowledge of whether you want to fully drop to Free or just switch tiers (e.g. Teams → Standard).
- If the subscription was paid via PayPal or ACH, expect a support contact for changes.

Open the Admin Center → Billing
Sign in to Calendly and open the Admin Center. Go to the Billing page.

On the Billing page, click Change plan. Select Upgrade or Downgrade depending on direction.

Switch to the Free plan
To cancel, switch to the Free plan. To change tier instead, pick the paid plan you want. Downgrades start at the end of your current billing period — you keep paid features until then.

Confirm
Confirm the downgrade. Calendly shows a banner at the top of your Billing page; click it if you change your mind and want to cancel the downgrade before it executes.
What trips people up.

Calendly's self-serve flow supports monthly → annual (Switch to annual), but going the other direction — annual → monthly — requires emailing billing support. Plan extra time if that's the move you want.

All users in a Calendly organization must be on the same plan. Individual users can't have different plans within the same organization, so the downgrade applies to everyone.

PayPal and ACH aren't fully self-serve
Customers paying via PayPal or ACH/wire transfer hit support-mediated edges. PayPal payment updates require contacting billing; ACH/wire has a $5,000 USD minimum purchase.

Scheduled a downgrade and changed your mind? Click the banner at the top of the Billing page to cancel the downgrade before the billing period ends. After that, you're on Free.

Failed charges retry every 24 hours
If a charge fails, Calendly retries every 24 hours. Without an updated payment method, the retries continue until the system gives up — at which point you're effectively cancelled to Free without explicit action.
What happens to your account.
Switching to Free does not delete your account or your scheduling history. Calendly retains your event types, booking history, and team data; what changes is access to paid features. To remove the account entirely and delete all data, follow Calendly's separate account-deletion article (linked at the bottom of their billing-changes doc).
What you get back.
Calendly's billing article doesn't publish a refund formula. Downgrades start at the end of your billing period, so you keep paid features until then with no automatic refund for unused time. For custom invoice or refund questions, the article directs you to contact billing support.
Lower-friction options.
If you don’t need to fully cancel, one of these often accomplishes what you actually want.
Downgrade tier instead of going to Free
If you only need to cut cost, downgrade to a smaller paid tier rather than dropping to Free. Same Admin Center → Billing → Change plan flow, just pick a different paid plan.
Reduce seats
Calendly bills per seat on Teams. Removing inactive members lowers the next invoice without dropping plan features for the rest of the team.
Cancel the downgrade before it executes
Scheduled downgrades show a banner on the Billing page. Click it to cancel the downgrade and stay on your current plan if you change your mind before the cycle ends.
